DATA PROTECTION ACT:
Our policy conforms with the requirements of the act and we comply with operating & statutory bodies.
WHAT INFORMATION WE COLLECT
We collect name, address, e-mail and phone number of our stall holders who sign up to operate on Hitchin Markets. We will ensure that data collected will be recorded correctly and free of mistakes.
We also collect information for our 4 employees and 6 directors.
WHY DO WE COLLECT AND HOW DO WE USE THIS INFORMATION:
Stall Holders:
HOW DO WE COLLECT:
From completed paper forms from stall holders, staff and directors. Stall holder details (including insurance) are then stored on our MAACS Operating System. E-mail addresses for everyone are stored on our computer. New enquiries are also received by e-mail and e-mail via our website.
WHO HAS ACCESS:
Computers have passwords and are restricted to use of above.
INFORMATION SHARING AND DISCLOSURE:
We will not sell or swap information with any third party.
STORING INFORMATION:
We will only keep information for the duration of a trader, once they cease trading we will destroy after 3 years. We will seek update on continuing traders.
Complaints will be kept for 3 years.
We will dispose of paperwork safely by shredding.
Electronic data will be reviewed and deleted in line with the above retention schedule.
WE WILL CONFORM WITH THE 8 DATA PROTECTION PRINCIPLES:

- To contact in emergency situations.
- It is necessary for the performance of the contract.
- For personal operation and also for Directors of a Limited Company.
- For e-mailing meetings and activities and sending relevant operational material.
